CLUB RULES / CONSTITUTION

NAME: The name of the club is Dawlish Coasters

OBJECT

The aim of the Club is to encourage men and women of any abilities from the surrounding area to participate in competitive and non-competitive athletics

MANAGEMENT

1. The Management of the Club is vested in a Committee consisting of a Chairperson, Honorary Secretary, Honorary Treasurer and up to seven other members, all to be elected annually

2. The Committee has the power to fill any vacancy which may arise

3. An Honorary President may also be chosen at the AGM

4. A quorum for the Management Committee shall be four

5. All decisions will be by a majority vote; the Chairperson shall have the casting vote in the event of a tie

6. The Management Committee has the power to co-opt extra members up to a limit of three, to create trustees, and to form a sub-committee as and when considered necessary

7. The Management Committee shall meet once a month

8. Any Committee member who misses three consecutive committee meetings without giving apologies or having a valid reason, can be replaced at the Committee’s discretion

MEMBERSHIP

1. This is an open club to men and ladies

2. The Club shall consist of amateurs, according to the UKA/EA definition of an amateur

3. A candidate for membership must apply in writing on a form provided for that purpose

4. Members must keep the Club Secretary informed of their current address. Members will be deemed to receive correspondence 72 hours after posting. Email may be used where mutually agreed between member and Secretary

5. The Committee has the power to suspend/expel any member whom it considers to be a danger to him/herself or others

SUBSCRIPTION

1. The annual subscription of the Club will be set at the AGM and is payable on the 1st April in each year. A member joining with six months or less remaining pays half subscription otherwise the full fee shall be payable

2. For each Club run guests must be signed in by a member and pay the guest fee

3. Members have the opportunity when paying their Club membership to pay, through the Club, the additional EA affiliation fee in order to receive a personal identity number, allowing them to pay the lower entry fee at races

4. The Committee shall have the power to expel any member whose subscription is six months in arrears

5. Subscriptions must be paid for the current year before the member can compete for the Club except where the Club chooses to waive this rule

6. Any member guilty of misconduct (ie behaviour contrary to the constitution) may be cautioned once or expelled from the Club by a majority decision of the Management Committee. Any person expelled will have the right to appeal to Management Committee meeting called at his/her request not later than two weeks from the date of expulsion

RESIGNATION

1. To resign, a member must inform the Club Secretary in writing and their membership terminates on the date of the notice. No refund shall be given

COACHING

1. The Club will endeavour to provide qualified coaches and ‘leaders in running’ under EA scheme

2. The Club will pay for all training costs for approved members to undertake coaching skills courses up to Level 2

3. The Club may pay some or all of the costs for other coaching or officiating courses at the discretion of the

Management Committee

4. The Management Committee will review all applications from members to undertake coaching courses and decide if the costs will be met in relation to the Club’s current and future coaching requirements

5. Any member who receives Club funds to pay for training courses must take an active part in planning and delivering coaching on Club training nights or officiating in Club organised events as appropriate. Failure to do so may result in a demand for reimbursement

ANNUAL GENERAL MEETING

1. The Annual General Meeting (AGM) will be held during November and the following business undertaken

a) Annual Report will be read and discussed

b) The accounts will be presented

c) The officers will be elected

2. The Hon Secretary must give every member 21 days’ notice of the meeting and at least 7 days’ notice of the

business to be dealt with and any other business shall be dealt with at any such meeting

3. Motions to be discussed must be submitted in writing to the Secretary at least 2 weeks before the meeting

4. Constitution and Rules may only be changed by a two thirds majority decision at an AGM or EGM

5. One quarter of all members will constitute a quorum

6. The Chairperson shall have the casting vote in the event of a tie

EXTRA ORDINARY GENERAL MEETING

1. An EGM must be called by the Hon Secretary within 14 days of the receipt by them of a requisition in writing signed by 5 members of the Club, stating the business to be brought before such a meeting

2. One third of all paid up members will constitute a quorum at an EGM

3. Voting rights as at the AGM pertain

DISSOLUTION

1. The Management Committee, by a three quarters majority at a quorum meeting, may decide to dissolve the Club. They must then call an EGM giving 4 weeks’ notice to all Club Members. If the motion is passed by a three quarters majority the Club is then dissolved

2. Alternatively paid up members may also an EGM for the same purpose

3. Upon dissolution any funds remaining after all debts have been met will be donated to the County AAA and/or a chosen charitable organisation at the discretion of the Committee

LONDON MARATHON CRITERIA

For members to be included in the Club entry draw they must:

1. Be First Claim to Dawlish Coasters

2. Have been a member for 6 months prior to draw date

3. Have accumulated the requisite number of points based on the following award system:

3 points – Representing the Club at a race

2 points – Acting as an official or marshal at a club race or event

1 point – Attending at a club training night

4. Have been rejected from the London Marathon for that year (letter or email being proof)

Any member receiving a club entry may not pass this on to any other runner, whether club member or not, as this could result in disqualification

The management Committee have the final discretion on this matter
